Admiral FleetDesk is an internal business application used for vehicle, machine, fuel, work entry, GPS-based verification, document viewing, and related operational activities.

The app may collect the following information for business and operational purposes:

• User login information such as user ID, company ID, user name, mobile number, user type, and login token.
• Vehicle and machine-related information selected by the user during work or fuel entry.
• Daily work details, start/end readings, work remarks, and work status.
• Fuel entry details such as fuel type, quantity, rate, amount, meter/hour reading, receipt number, and remarks.
• GPS location including latitude, longitude, address, city, state, and pincode.
• Photos and videos captured for fuel entry verification and operational proof.
• Vehicle document details viewed from the ERP system such as insurance, PUC, permit, fitness, registration, expiry date, and document file.
• Device-related information such as device name, device ID, app version, and language preference.
• Error logs required for app troubleshooting and stability improvement.

2. Permissions Used by the App

Admiral FleetDesk may request the following permissions:

• Location Permission: Used to capture GPS location during daily work, fuel entry, and verification activities.
• Camera Permission: Used to capture photos and videos required for fuel entry and operational proof.
• Microphone Permission: Used only when video recording or voice/speech input is used in the app.
• Internet Permission: Used to connect with Admiral ERP APIs and submit/view operational data.

3. How We Use Information

The collected information is used for:

• User authentication and secure session management.
• Recording daily vehicle or machine work entries.
• Recording fuel purchase, stock fuel, and stock issue entries.
• GPS-based operational verification and audit control.
• Viewing vehicle documents and expiry status.
• Management reporting, approval, audit, and compliance checks.
• Improving app performance, fixing errors, and maintaining security.

4. Data Sharing

We do not sell, rent, or trade user data to third parties. Data is used only for internal business, ERP, audit, reporting, and operational control purposes.

Some device services, such as Android system services, Google Play Services, location services, or in-app document/PDF viewing support, may be used where required for app functionality.

5. Data Storage and Security

Data submitted through Admiral FleetDesk is stored securely on the organization’s ERP server. We apply reasonable technical and administrative controls to protect data against unauthorized access, misuse, or loss.

User sessions are protected using login tokens. If a user is disabled or the token becomes invalid, the app may automatically log the user out.

6. Photos, Videos, and Documents

Photos and videos captured in the app are used only for verification, audit, and operational proof. Vehicle documents shown inside the app are fetched from the ERP system for user reference and are not intended for public sharing.

7. Location Data

Location data is collected only when required for work entry, fuel entry, verification, or related operational actions. The app does not collect location in the background for unrelated tracking unless required by a business workflow and approved by the organization.

8. Data Retention

Operational data is retained as per the organization’s internal ERP, audit, finance, and compliance requirements. Retention period may vary depending on the type of record and business/legal requirements.

9. User Control and Access

Users can contact the organization administrator for any data correction, access-related concern, login issue, or account deactivation request.

10. Children’s Privacy

Admiral FleetDesk is a business application and is not intended for use by children. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. Any updated version will be published on this page with the revised effective date.
